One property management system feeds three Excel files. For net rent in March, asset management reports €4.21M, finance €4.08M and the fund team €4.35M, each on its own definition. The three figures are €270k apart, and nobody could say which one was right.

One definition for each number

The figures differed because each team took out different costs. Finance and the three teams agreed one written definition, and every report now uses it.

The agreed net cold rent as a calculation: contractual rent of 5.02 million euros, minus 0.61 million in service charges and 0.24 million in heating costs, gives 4.17 million for March. Owned by the head of controlling and signed off by finance.

One model under every report

Property data now loads into Microsoft Fabric. Each old report was checked against the new model before it was switched off.

A team that keeps it right

After the build, we trained four controllers on the new reports. Sensitive figures sit in a view only management can open.
